Integrations

Connect Theo to other services you use. Integrations make Theo more powerful by connecting to your calendar, and more.

Accessing Integrations​

  1. Go to Settings in the left menu
  2. Click Integrations

Google Calendar​

Connect your Google Calendar so Theo can:

  • See when you're busy
  • Book appointments into your calendar
  • Generate Google Meet links for virtual meetings
  • Send calendar invites to customers

Connecting Google Calendar​

  1. Go to Settings → Integrations
  2. Find Google Calendar
  3. Click Connect
  4. Sign in to your Google account
  5. Allow Theo to access your calendar
  6. You're connected!

What Happens After Connecting​

Once connected:

  • Theo checks your calendar before offering appointment times
  • New appointments appear on your Google Calendar automatically
  • Customers receive calendar invites with all the details
  • Virtual meetings get Google Meet links

Which Calendar is Used?​

Theo connects to your primary Google Calendar. If you use multiple calendars:

  • Availability is checked across your calendars
  • New appointments are added to your primary calendar

Disconnecting Google Calendar​

If you need to disconnect:

  1. Go to Settings → Integrations
  2. Find Google Calendar
  3. Click Disconnect
  4. Confirm

Note: Existing appointments won't be deleted, but Theo will no longer sync with your calendar.

Troubleshooting Integrations​

Google Calendar Issues​

"Theo isn't seeing my busy times"

  • Make sure events are on your primary calendar
  • Check that events aren't marked as "Free"
  • Verify the connection is active

"I don't see appointments on my calendar"

  • Appointments may take a few minutes to appear
  • Check your primary calendar
  • Verify the integration is still connected

"I'm getting double-booked"

  • Make sure all your appointments are on your synced calendar
  • Enable calendar sync if you use scheduling tools

"Connection keeps failing"

  1. Disconnect the integration
  2. Clear your browser cache
  3. Try connecting again
  4. Use a different browser if issues persist

Integration Best Practices​

Keep Calendars Updated​

  • Add personal appointments to your calendar
  • Block off times when you're unavailable
  • Update recurring events

Test After Connecting​

  • Ask Theo about availability
  • Book a test appointment
  • Verify it appears on your calendar

Review Regularly​

  • Check that the integration is working
  • Update connection if you change accounts
  • Disconnect old integrations you don't use

Common Questions​

Do I need to reconnect periodically?​

Usually not. Connections should remain active indefinitely. If you see issues, try disconnecting and reconnecting.

Can I connect multiple Google accounts?​

Currently, you can connect one Google account. Use your primary business calendar.

Is my calendar data secure?​

Yes. We only access what's needed for scheduling:

  • Busy/free times
  • Ability to create events

We don't read your event details or share your calendar with anyone.

What if I don't use Google Calendar?​

The integration is optional. Without it, Theo uses your availability plans instead of live calendar data.

Can team members connect their calendars?​

Currently, calendar integration is at the account level. Team calendar features may be available in future updates.
